Overview

As an Administrative Assistant, you will be the first point of contact for our company. Your duties include offering administrative support across the organization. You will welcome patients and greet people who visit the clinic. You will also coordinate front-desk activities, including distributing correspondence and answering phone calls. Ultimately, the Administrative Assistant’s duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.

Expected Responsibilities

  • Greet and welcome visitors as they arrive
  • Speak to clients over the phone and in person, and document accordingly
  • Speak to insurance companies over the phone (training/more information provided by employer), and document accordingly
  • Schedule appointments and coordinate schedules for 15+ clinicians and 100+ clients
  • Multi-task when talking over the phone and working on the computer
  • Must be able to prioritize importance of administrative tasks given. Tasks include but not limited to charting, scanning, filing, faxing paperwork, processing payments, verifying patient insurance, etc.
  • Must work on assigned tasks in an efficient and timely manner
  • Maintain clean and tidy common areas including the reception desk, waiting rooms, conference rooms, bathrooms, etc.
  • Receive and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling client access via the reception desk
  • Maintain a professional attitude and appearance

 

Required Knowledge, Skills and Abilities:

Advanced written & verbal communication skills
Positive & professional customer service attitude
Ability to resourcefully & proactively resolve issues that may arise
Use of office equipment & technology (e.g. fax machines and printers)
Proficiency in Microsoft Office Suite
Multi-tasking, time management, & prioritizing
Be friendly, personable, compassionate & understanding, but firm when necessary
Be willing to learn--we will provide training on office policies, clinician specialties, etc.
